We have an immediate opening in our Sales Resource Center for a Proposal Manager to provide proposal development support to the firm’s Energy, Sustainability, & Infrastructure (ES&I) segment’s subject matter experts in the preparation of complex proposals and presentations. This position will manage responses to state and municipal government and commercial client Requests for Proposals (RFPs) and Best in Final PPT presentations. Successful candidate must be able to thrive in a fast-paced, dynamic environment. In addition to working with proposal leads on proposal efforts, this position calls for a collaborative professional with a positive strategic outlook, excellent communication, writing, editing, and project management skills. The preferred candidate is comfortable in a deadline driven environment.
Work with the Directors and Partners across the segment to support multiple, concurrent proposal submissions (contract values in excess of $3M on average).
Position will lead and manage proposal development to ensure clarity and compliance of all proposal documents. This role serves as a key liaison coordinating all internal work streams and processes to track and review all proposal content and oversee submission of the final proposal.
Create proposal response document(s) and manage online procurement forms and submittals
Create responsibility matrix and development schedule for proposal team to ensure RFP compliance and adequate time for review, assembly, and delivery
Schedule and facilitate proposal kick-off meetings, status meetings, strategy sessions, editorial and quality/compliance reviews, and submittal activities
Help develop and communicate win themes, strategies, and creative design approaches
Work closely with sales leads and subject matter experts as contributors and/or reviewers
Collaborate with external proposal teaming partners (subcontractors or prime contractors) in the development of proposal content or completion of administrative requirements
Support the preparation of other deliverables related to the opportunity such as presentations and follow-up requests
Coordinate with the legal, IT, and other Guidehouse operations teams to ensure vendor required forms are completed and other non-technical information and documents are received (insurance, tax documents, sustainability, equal opportunity, cyber security) and terms and conditions are reviewed
Develop list of technical and nontechnical questions for submittal to RFP issuer prior to cutoff date
Facilitate leadership review of high-value or strategic pursuits
If applicable, monitor online bid site for addendums, answers to submitted questions, and updated information in general
Review and development of all non-technical requirements for inclusion in the response
Coordinate with subject matter experts to ensure technical content is provided for assigned sections
Create graphics (PowerPoint) such as organization charts and work flow diagrams, as needed
Assemble relevant qualifications for proposal, including technical / client qualifications, staff biographies, and work references (including confirmation of permission to use reference)
Provide final editing and formatting to ensure high quality submittal
Responsible for final submittal completion, quality, and content archiving
Provide input and updates to the Sales Resource Center’s Content Management System (SharePoint), including but not limited to final proposals and updated project summaries and qualifications
Position supports editing and formatting of client deliverables and presentations as time permits and works with editors on ad hoc project needs
Supports new content development efforts and team and firm initiatives as needed
Continuous improvement in the Sales Resource Center’s proposal response coordination, including updating materials to best showcase Guidehouse’s capabilities
Skills and Core Capabilities:
A bility to review, understand, and summarize the requirements of RFPs, RFIs, and RFQs
Ability to coordinate the development of multiple proposals simultaneously
Strong organizational and time management skills, multi-tasking abilities
Excellent verbal and written communication skills, including high grammatical proficiency to ensure consistency with internal style guides
Excellent customer service with individuals at all levels both internal and external
Experience collaborating with and leading teams comprised of senior level company leaders
Teaming with key stakeholders across the firm to develop winning proposals
Ability to translate complex concepts and ideas into clear communications
Able to work effectively with remote team members
Strong organizational skills, detail-oriented
Able to work well and thrive under pressure; must be flexible with regard to schedule, may require off hours work to meet aggressive deadlines.
Bachelor’s degree in marketing, business communications, or equivalent is required.
Prior experience in the professional services industry preferred
Experience with online procurement sites such as Power Advocate and Ariba
Minimum 4 years of experience in proposal management
Energy (electric utility, oil, and gas) industry knowledge a plus
Advanced proficiency with Microsoft Word, PowerPoint, and SharePoint; basic working knowledge of Excel

The salary range for this role is $60,000-$100,000 depending upon experience.
